Your front office
What your tools did for you, on one page. Arrange it the way you work.
Arrange your home page
Tick what to show and put it in the order you want. This is your view only: everyone on your team arranges their own.
AI Receptionist
Answers every call, books on your real calendar around the clock, and takes a name and number for a call back when you are closed.
Calls per day
The coloured portion of each bar is booked appointments. The grey is every other call.
Outcomes
How each call ended.
Recent calls
Most recent twenty, regardless of time window.
Common questions
What callers ask most. Usually the fastest thing to fix on your own website.
Call back requests
Callers who asked for someone while the office was closed and chose a call back. The receptionist takes a name and number only, never a message: anyone who wants to explain is put through to your voicemail instead. Tick one off once you have called them.
Appointments
What the receptionist actually changed on your calendar.
Missed or failed calls
Calls under 30 seconds with nothing accomplished, or where the assistant reported it could not help. Calls that got a busy signal are not visible here.
System notices
Things the system flagged about itself during these calls. Your appointments are unaffected; this is here so nothing gets recorded and then quietly ignored.
Customer Reactivation
Annual exam and contact lens recall to your past patients, by email and text. A campaign sends nothing until someone here approves it, and each patient stops hearing from you the moment they book or opt out.
Customer Reactivation is not part of your plan. Ask us about adding it.
Your patient list
Upload a CSV exported from your practice software, or paste from a spreadsheet. The columns it looks for are First name, Last name, Email, Phone, Last visit and Contact lens. You see what will be imported before anything is saved.

Used for the revenue recovered figure: bookings a campaign brought back, times this amount. Until it is set, that figure is not shown.
New campaign
Three messages over three weeks: the day a patient is added, a week later, and two weeks after that. It goes to the patients who match when you submit it, and waits on the Approvals page until someone approves it.
Campaigns
Messages go out 9 AM to 7 PM your time, Monday to Saturday, a few at a time. A patient who books through the receptionist stops getting reminders on their own, and the booking counts for the campaign that reached them.
Reputation Manager
Replies to your Google and Yelp reviews, drafted for you and checked for patient privacy, plus CSAT you can actually track. Nothing is posted until someone here approves it.
The Reputation Manager is not part of your plan. Ask us about adding it.

Yelp reviews
Yelp emails you about every new review. Forward those emails to your practice's private address below and each one arrives here as a drafted reply. Yelp does not allow software to post for a business, so you approve the draft, then post it yourself on Yelp for Business.
Or paste a review yourself
Ready to post on Yelp
Approved replies. Copy each one into Yelp for Business, then mark it posted so the count stays true.
Could not post
Approved Google replies that did not go out. Nothing is lost; retry once the reason below is fixed.
CSAT
A one-question survey after a visit. It takes a score and nothing else, with no comment box, and the patient's email address is used to send it and never stored. Last 90 days.
Social Media Assistant
Posts drafted on the schedule you set, in your practice's voice, and replies to comments on your Facebook posts. Every one waits for someone here to approve it.
The Social Media Assistant is not part of your plan. Ask us about adding it.
Content plan
What to post about, how often, and where. Posts are drafted for the next two weeks at 10 AM your time.

Instagram will not publish a post without a photo, so captions are drafted and approved here, and someone at the practice posts them from their phone with their own picture.
Scheduled on Facebook
Approved and handed to Facebook, which publishes each one at its time.
Ready to post on Instagram
Approved captions. Take the suggested photo, post it with the caption, then mark it posted so the count stays true.
Could not publish
Approved posts or replies the platform did not accept. Nothing is lost; retry once the reason below is fixed.
Approvals
Nothing is posted in your name until someone here approves it. Every decision is recorded with who made it and when.
Waiting on you
Drafts written by your tools, oldest first. Approve it as written, edit it first, or decline it. A declined draft is never published and does not come back. Owners approve; so does anyone an owner allows on the Account page.
Decided
The audit trail. Kept so you can show who approved what, and whether it was published as drafted or rewritten first.
Your practice
What is switched on, and who to ask when something looks wrong.
Membership
Your plan decides which tools are switched on and how many call minutes each month includes. A busier practice adds minutes in blocks of 500, so you upgrade for tools rather than for volume.
Data and privacy
What we hold on your behalf, and what we deliberately do not.

Two-step sign-in
Sign in with a code from your phone as well as your password, so a stolen password alone cannot open your practice's patient data.
Team
Everyone who can sign in to this practice. Owners manage the team and approve everything. Staff approve only what you switch on for them here, and a change takes effect on their next click.
